Executive Assistant - PH

 

The Executive Assistant will work directly with the Country Head and will be responsible for assisting her in terms of streamlining strategic initiatives, overseeing program management and communicating objectives to departments. He/She should have proven success in a business management role with a special focus on executive level support and interdepartmental collaboration.

 

Responsibilities:

  • Oversee strategic business initiatives, from development through successful execution, under the guidance of the Country Head

  • Serve as liaison with staff, executives and senior leaders regarding company climate, project updates, proposals, and planning on behalf of the Country Head

  • Oversees the daily activity of the Country Head and perform administrative tasks such as:

    • Managing the Country Head’s calendar and making sure that it is followed and respected

    • Keeping the Country Head well informed of upcoming commitments and responsibilities and following up appropriately o Reviewing, prioritizing, generating and drafting correspondence

    • Arranging complex and detailed travel plans, itineraries, and agendas,

    • Maintaining hard copies and electronic files

    • Planning and coordinating internal local, regional and external corporate meetings

    • Taking minutes of the meeting

    • Completing expense reports and budgets

    • Preparing presentations

    • Supporting the Country Head in her official activities

  • Develop and build on relationships with all employees for increased efficiency and responsiveness of existing operations and help define new operational strategies by working with Country and other executives on special projects.

  • Serve as a subject-matter expert, handling inquiries, developing action plans, and assisting with preparation and dissemination of communication on behalf of the Country Head with partners and relevant internal and stakeholders.

Requirements:

  • Three or more years of experience in a business management or executive role

  • Experience in organizing cross functional activities

  • Experience in planning and participating in strategic initiatives

  • Excellent written and verbal communication skills

  • Versatile abilities and extreme dedication to efficient productivity

  • Experience in data analysis and budget management

  • Experience in e-commerce, preferred

  • Proven success in a project coordination/management role

  • Nimble business mind, focused on developing creative solutions

  • Strong project-reporting skills, with focus on interdepartmental communication

  • Strong level of confidentiality especially when it comes to critical information

  • Willing to work in a hybrid work set up (At least 4x a week of F2F Reporting)
