Executive Assistant - PH

 

The Executive Assistant will monitor and coordinate the requirement of the Country Head. The role will be managing mostly business-related tasks such as but not limited to creating reports, managing calendar and correspondence, project management, taking minutes, and other administrative tasks.

 

The Executive Assistant will provide updates and efficient status reports to the Country Head on several aspects of the business like on commercial, fulfilment operations and supply chain, and in some cases even for studios. Analysis, critical thinking and problem-solving skills and strategies will be essential in tracking and monitoring activities and presenting recommendations and suggestions to the Country Head and Deputy Chief Executive Officer. Lastly this role, will also be responsible in carrying out administrative tasks, providing a seamless delivery experience to the company’s decision-makers.

 

Responsibilities:

  • Support the Country Head by overseeing and tracking projects, including, but not limited to schedules, plans, resource allocation, risks and issues, and status reports

  • Provide consistent project plan/status reporting for use by the digital brand managers, internal clients, and

    management

  • Reads and analyze business related messages, letters, agendas, memos and determine its significance, routing

    to appropriate personnel in a timely and efficient manner

  • Act as the key point of contact for Country Head

  • Provide business insights with outstanding judgment, suggestions, and recommendations.

  • Ensures that projects, campaigns, and other deliverables are right on track following AIRR standards

  • Manage the Country Head’s schedule and correspondences

  • Drafts executive memos and correspondences for review of the Country Head

  • Communicate and collaborate with internal and external stakeholders as needed regarding project deliverables

    including managing expectations and completion.

  • Proactively develop and maintain strong working relationships with both internal and external stakeholders

  • Ad -hoc responsibilities that may be needed by the Country Head

Requirements:

  • Bachelor’s Degree or equivalent relevant experience

  • Experience in project management and administrative tasks

  • Excellent written and verbal communication skills

  • High level of confidentiality

  • Knowledge of both theoretical and practical aspects of project management, techniques, and tools

  • Highly adaptable in a fast-paced environment, critical thinker, strong problem-solving skills

  • Exceptional verbal and written communication skills

  • Ability to collect, track, and analyze multiple data sets

  • Keen attention to details

  • Ability to build rapport and collaborate with others within the organization and externally

  • Proficient in Microsoft Office, Zoom, and other business tools
